Who we are

Essex Junior Squash organises squash tournaments, county training and matches for junior players in Essex. We are the data controller for the information you give us here. If you have a question about your data, or want to make a request, contact the Essex Junior Squash committee using the contact details on essexjuniorsquash.co.uk.

Committee note: add your data protection contact name and email address here before you share the app with parents.

What we collect

• About you: name, email address, mobile number.
• About your child: name, date of birth, club, squash grade, t-shirt size, any medical or allergy information you choose to share, and an emergency contact.
• Membership and entries: which season your child is registered for, which events they have entered, and whether fees have been paid.
• Your choices: whether you have agreed to these terms, whether you want to receive emails, and whether you consent to photography.

Why we use it and our lawful basis

• To run memberships, event entries and teams — this is necessary for the membership agreement between you and Essex Junior Squash.
• To keep players safe at events (medical notes, emergency contacts) — legitimate interests and, where health information is involved, your explicit consent.
• To send club news and event announcements — your consent, which you can withdraw at any time in your account or by using the unsubscribe link in any email.
• To order team kit in the right sizes — the membership agreement.

Who can see it

Only members of the Essex Junior Squash committee, and only for club business. Other parents cannot see your family's records. We do not sell or share personal data for marketing. Where we are required to share limited player details with England Squash or a host venue to run an event, we share only what is needed.

How long we keep it

Membership and entry records are kept for the current season and up to three further seasons so we can manage grading, county selection and safeguarding queries. After that they are deleted or anonymised. You can ask us to delete your family's data sooner.

Photography and video

We ask separately for your consent for photographs or video of your child to be used on club channels and the website. You can say no and still take part in everything, and you can change your answer at any time on your child's record.

Your rights

You can ask to see, correct, download or delete your family's data, object to how we use it, or withdraw consent. You can download your data yourself from the Account page. To request deletion, use the button on the same page or contact the committee. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.

Membership terms

• Membership runs for one squash season and must be renewed each season.
• Only a parent or legal guardian may create an account and register a child under 18.
• Event entries are confirmed once the entry closing date passes; fees are payable as published for each event.
• Players and parents are expected to follow the Essex Junior Squash and England Squash codes of conduct at all events.
• Please keep your child's details, including medical information and emergency contacts, up to date.
